Job Description

We are a group of indigenous companies playing in multi-level sectors such as Automotive, Industrial Equipment distribution and maintenance as well as real estate. We seek to recruit an experienced Executive Assistant to provide secretarial and administrative support to our Group Managing Director. Role Responsibilities Manage the GMDs diary, appointments, and email account - filter emails highlight urgent correspondences and print attachments. Support the GMD to manage workflow, output and office deadlines. Conduct weekly diary meetings with the GMD to discuss upcoming engagements, invitations, and other requests. Schedule on behalf of the GMD, meetings between him and his direct reports and the committees and groups to which he is a member. Filter general information, queries, phone calls and invitations to the GMD by redirecting or taking forward such contacts as appropriate. Manage the process of calling for briefing on behalf of the GMD from start to finish to ensure that he is fully prepared for all engagements. Co-ordinate GMDs travel in conjunction with in-house travel group (if any). Tabulate and retrieve GMDs official expenditures and claims. Liaise with relevant stakeholders to arrange meetings, prepare agendas and draft minutes.
