Key Responsibilities:
Calendar and Schedule Management:
o Manage the executives calendar, including scheduling appointments, meetings, and travel arrangements.
o Coordinate and prioritize appointments and ensure the executive is prepared for each engagement.
o Handle scheduling conflicts and reschedule appointments as necessary.
Communication and Correspondence:
o Serve as the first point of contact for internal and external communications.
o Screen and respond to emails, calls, and messages, ensuring timely follow-up on all matters.
o Draft, proofread, and edit correspondence, presentations, and reports as needed.
Travel Arrangements:
o Organize domestic and international travel, including flight bookings, accommodation, transportation, and itineraries.
o Ensure travel logistics are handled smoothly and efficiently, providing detailed travel schedules.
Administrative Support:
o Prepare and organize documents, files, and reports for meetings and presentations.
o Assist in managing the executives personal and professional tasks, including research, errands, and paperwork.
o Maintain filing systems, both physical and digital, ensuring information is easily accessible.
Event Planning and Coordination:
o Coordinate events, meetings, and conferences, including handling logistics, invitations, and catering as required.
o Assist with preparation for events, such as meetings, conferences, or special functions.
Personal Assistance:
o Handle personal tasks and errands for the executive, ensuring their personal life is well-organized to complement their professional obligations.
o Help manage household, family, or other personal commitments as needed.
Confidentiality and Discretion:
o Handle sensitive and confidential information with the utmost discretion and professionalism.
